POSITION OBJECTIVE

Working under general direction, manage the quality assurance for study related data in the Center for AIDS Research. Major responsibilities are to monitor, optimize and enhance the quality of clinical and laboratory data stored in the Patient Care and Research Database.



ESSENTIAL FUNCTIONS

Review clinical, laboratory and study-related data contained in the center’s patient care and research database, generate lists of data elements requiring revision, access primary data sources such as medical charts, laboratory reports and correspondence related to Special Immunology Unit Patients/AIDS Clinical Trials Unit patients. (20%)
Update contents of the patient care and research database, as needed, following guidelines set forth by the database manager and project leader. (15%)
Develop and implement procedures related to quality assurance, keying and monitoring of Clinical Research Trials for the effective integration of accurate information, in accordance with standard operating procedures set forth by the Center, NIH (National Institutes of Health), HIPAA (The Health Insurance Portability and Accountability Act of 1996) and AIDS Clinical Trials Unit guidelines. (10%)
Design, run and analyze queries of the database as needed by center investigators, create programs and procedures to respond to requests from researchers, and maintain up to date records of all data requests to the database team. (8%)
Prepare for and meet with medical doctors monthly or as needed to evaluate performance of such strategies and maintaining source documentation guidelines. (8%)
Together with the database manager, establish processes to optimize data quality, design tools to monitor data accuracy, and correct data elements according to source documents. (7%)
Analyze and design strategies and/or initiate actions as necessary to improve quality of the patient care and research data. (7%)


NONESSENTIAL FUNCTIONS

Establish, prepare, and maintain documentation procedures used in quality assurance of all components of charts as well as database. (5%)
Assist the principal investigator and unit manager as needed to plan strategies regarding contribution of data to future center proposals and unit protocols. (5%)
Make recommendations to unit manager on policy and procedure changes as they affect the efficient flow of data. (5%)
Maintain a permanent channel of communication with unit manager, clinicians, students and data personnel to assure consistency and understanding of database requirements in other unit activities. (5%)
Identify and make recommendations to the unit manager and/or the principal investigator regarding clinical improvement strategies related to documentation. (2%)
Organize and lead meetings to train, educate all staff members on quality assurance findings. (1%)
Initiate and respond to requests for communication with unit administrator as needed for budget related items, center coordination, travel reimbursements and office supplies. (1%)
Perform other duties as assigned. (1%)


CONTACTS

Department: Continuous contact with department medical doctors, data team members, and staff regarding data integration strategies.

University: Infrequent contact with university administrative offices of Human Resources, Payroll or student employment to address staff/student issues respectively.

External: Regular contact with hospital doctors and employees regarding data integration strategies.

Students: Occasional contact with students for data programming needs.



SUPERVISORY RESPONSIBILITY

No supervisory responsibilities at this time.



QUALIFICATIONS

Experience: 2 years of related experience. Strong preference given to healthcare professionals who can demonstrate current or recent involvement in patient care and/or medical record management.

Education/Licensing: Bachelor’s degree.



REQUIRED SKILLS

Proven understanding of medical terminology and familiarity with medical records and medical documents.
Knowledge of HIV associated medications/illnesses preferred.
Good organization skills; ability to multi-task, prioritize and meet deadlines.
Must demonstrate attention to detail and accuracy, time management, and follow-through.
Ability to follow protocols, budget time effectively, and work on several projects simultaneously
Have knowledge of personal computer applications, familiarity with basic Microsoft applications as well as relational database management programs and languages.
Excellent verbal and written communication skills.
Good interpersonal skills; ability to work and communicate with various individuals within the unit and department.
Ability to work effectively independently and within a team.
Must demonstrate flexibility and ability to work under pressure; must be able and willing to work in a fast-paced, changing environment, and conform to shifting priorities, demands and timeline.
Ability to meet consistent attendance.
Ability to interact the colleagues, supervisors, and customers face to face.
