Position Summary

Under the direction of the Senior Manager for their respective area, serves as a working front line supervisor for the document imaging and records management staff. Provides leadership support and operational oversight to the team. Ensures service with a sense of urgency and drives excellence through adherence to established standards and management expectations. This supervisor will work with the senior manager to set goals and priorities, troubleshoot issues, evaluate quality of team work, review staff work, and providing input into policies and procedures.  Within scope of control, demonstrates competence with HIMS IT infrastructure.

Secondary report to the Senior Director, Health Information Management Services. 

Document Imaging: Frequent contact with Ambulatory Care (clinics), Inpatient units, ETC, Operating Room, Patient Access Services, ITS, physicians, nursing, and other clinicians.

Record Completion and Support: Frequent contact with medical center and community practice site and referring physicians and their support staff, ambulatory care teams, inpatient units, operating room, patient access, ITS, nursing, and QRRM.

Key Responsibilities include:

  • Coordinates and provides oversight of all work activities for team members within their respective units.  Provides leadership and hands-on support for the team members. 
  • Manages the relevant HIMS infrastructure supporting their respective teams.  Troubleshoots and corrects issues within scope of control, ensures proper maintenance, and quickly and correctly escalates issues to the Senior Manager or ITS help desk.
  • Meets team performance standards by efficiently setting unit goals and objectives, prioritizing work, using available resources, reassigning staff when appropriate, and informing Senior Manager of the need for additional resources.
  • Establishes and modifies employee work schedules ensuring adequate coverage.  Organizes work flow to minimize service delays and overtime expenses.
  • Supervises team productivity, turn-around-times, and quality of work.  Addresses personnel, production, and ITS issues as they arise.
  • Appropriately delegates work to team members and issues to Manager.  Retains appropriate work and responsibility for self.
  • Augments and reinforces staff training for new employees on policies, procedures, standard work; cross trains staff as appropriate, and retrains staff as operational processes change.   Communicates staff in-service needs to Senior Manager and coordinates in services where appropriate.
  • Conduct staff huddles and meetings on a regular basis. 
  • Reports on metrics reflecting operational activity of the team.
  • Participates in projects as assigned and completes within requested timeframes. 
  • Evaluates and writes performance appraisals with Senior Manager.  Provides timely and appropriate verbal and written feedback to team members.
  • Provides input and feedback on policies and procedures for the section.
  • As a member of the Health Information Management Services management team, supports the department’s vision and interacts with others to achieve department and enterprise-wide goals. 

Basic education, experience and skills required for consideration:

  • Associates Degree in Health Information Management or other health or other business relevant area. (Experience may substitute for minimum education requirements).
  • 1+ years of healthcare experience as a lead or supervisor.
  • 3+ years of HIM experience, preferably in an acute care or clinic setting.

  • This position is full time exempt.
  • This position requires up to 10% travel.
