The HMS Center for Bioethics brings together the rich intellectual resources of the medical school faculty with health professionals and scientists from our affiliated teaching hospitals, departments across Harvard, and colleagues from other institutions worldwide to ensure that scientific progress, medical therapeutics, and health care practices proceed hand-in-hand with a reflection about the profound moral questions raised by advances in the life sciences. Our mission is to use these resources to execute our vision in teaching, service, and scholarship. Reporting to the Assistant Director for Communications, Marketing, and Events, the Communications Assistant works independently performing a wide range of complex and confidential administrative and clerical duties to support HMS Center for Bioethics programming and events.
Participates in and assists with planning and execution of both in-person (when possible) and virtual events and conferences, including support before, during, and after events. This can include: logistics and communication with speakers; building and managing events in CVENT; reserve meeting rooms, reserving A/V equipment and services and order catering; assisting in set up and break down of events; technical support and assistance in monitoring live streams, chat, and/or Q&A; assist in registration, meals including special dietary needs, answering questions, directing participants, making copies and other necessary duties; responding to participant queries before, during and after events;
Composes, edits, proofreads, drafts, designs, and schedules emails for Center events; maintain website including updates and news items; social media posting.
Organizes and implements administrative systems and procedures performing event and communications-related duties, including maintaining and updating email lists.
Participates in and assists with planning and execution of marketing and recruiting campaigns for Master’s, Fellowship, conferences, and other Center programs and events.
Provides for the smooth day-to-day flow of communications within the communication and events team and among teams in the Center.
Contributes to the goals of the Center by accomplishing other duties as needed.
Business training beyond high school or college background preferred.
Must be available to work occasional evenings.
Additional Qualifications and Skills
Degree in communications, marketing, or related field preferred.
Proficient with Microsoft Office Suite and Windows or Apple operating systems.
Proficient in Drupal 8, Constant Contact.
Must be highly organized, and detail-oriented.
Ability to work collaboratively with multiple internal stakeholders under tight deadlines is a must.
Strong project and time management skills and the ability to guide projects from inception to completion.
